What this covers

Website analytics and contact flows (e.g., email links), plus high-level principles for handling customer data inside the RolePrint™ application.

Data we may collect

  • Contact information you choose to send (e.g., email).
  • Usage data (if analytics are enabled).
  • Operational logs needed to secure the service (if applicable).

How we use data

  • To respond to inquiries and support requests.
  • To operate, secure, and improve the service.
  • To meet legal and compliance obligations when applicable.

Legal basis (GDPR)

Where GDPR or similar laws apply, we process personal data based on: performance of our contract with you; our legitimate interests (e.g. operating and securing the service); your consent where we ask for it; and compliance with legal obligations.

You may withdraw consent where we rely on it, without affecting the lawfulness of processing before withdrawal.

Data sharing and third parties

We do not sell your personal data. We may share data with:

  • Service providers (e.g. hosting, analytics, support) who act on our instructions and under contract.
  • Microsoft, when you use RolePrint™ with Microsoft 365, as needed to provide the integration.
  • Authorities when required by law or to protect rights and safety.

Enterprise or pilot agreements may list subprocessors; we require appropriate data protection commitments from processors.

Data retention

We retain data only as long as needed to provide the service, fulfill legal or contractual obligations, or resolve disputes. You or your organization can request deletion of your data; we will process requests in line with our retention and legal obligations. Specific retention periods may be set in your agreement or our internal policies.

Your rights

Depending on where you live, you may have the right to: access your data; correct or delete it; restrict or object to certain processing; data portability; withdraw consent; and lodge a complaint with a supervisory authority (e.g. in the EU/UK). In California, you may have additional rights (e.g. know, delete, correct, limit use of sensitive data, non-discrimination).

We use cookies and similar technologies for essential operation (e.g. authentication and security), and, if enabled, for analytics to improve the service. You can manage cookie preferences in your browser. Blocking certain cookies may affect site or product functionality.
