RolePrint™ is an automated knowledge transfer platform for Microsoft 365. When someone leaves your company or a role transitions, RolePrint™ analyzes their M365 activity to show who they worked with, what tools they used, and what the next person needs to know—delivered within minutes, not weeks.

Which RolePrint™ product do I need?

RolePrint Exit™ is for employee departures and terminations. RolePrint Transfer™ is for outsourcing and role transitions. Many organizations use both—Exit for departures, Transfer for outsourcing and reorganizations.

Does RolePrint support Azure DevOps?

Accepted Answer

Yes. RolePrint Transfer™ can optionally connect to Azure DevOps (repos, pipelines, work items). That data enriches the Transfer Complexity Index, risk assessment, and program reports—so engineering roles and sole-contributor code are reflected in scope and sequencing. Connection is read-only (PAT-based). Microsoft 365 is required; Azure DevOps is optional and recommended for technical transitions.

Do I need to install anything?

No. RolePrint™ is a web application. You sign up, connect your Microsoft 365 via OAuth (like connecting Salesforce or Zoom), and start creating cases. No software to install.

Can I try it before committing?

Yes. Every new account starts in demo mode with sample data so you can explore the platform and see sample reports. When you're ready for real data, request live access and we'll activate your account within 24 hours.

How does RolePrint™ access my Microsoft 365 data?

Accepted Answer

RolePrint™ uses Microsoft's OAuth 2.0 framework—the same authentication system used by enterprise apps like Salesforce, Slack, and Zoom. Your IT admin approves the permissions once, and you can revoke access anytime via Azure AD. We never ask for or store your M365 passwords.

Where is my data stored?

Access tokens are encrypted with AES-256-GCM and stored in Supabase (AWS-backed). Analysis results are stored temporarily to generate reports, then retained per your data retention policy (default: 90 days). You can adjust retention settings in your account.

Can you modify or delete our Microsoft 365 data?

Accepted Answer

No. All permissions are read-only. RolePrint™ cannot send emails, delete files, modify calendars, or pretend to be users. We only read activity details (who, when, where)—not the content of messages or files.

How do we revoke RolePrint™'s access?

Accepted Answer

Go to Azure AD → Enterprise Applications → RolePrint™ → Delete. Access is revoked immediately. You can also disconnect from within RolePrint™ via Settings → Microsoft 365 → Disconnect.

Are you SOC 2 compliant?

SOC 2 certification is on our roadmap. We follow industry-standard security practices including encrypted storage, OAuth authentication, and tenant isolation.

Does RolePrint™ work with our Conditional Access policies?

Yes. RolePrint™ respects your M365 Conditional Access policies. If your IT team has IP restrictions or MFA requirements, RolePrint™ will comply with those policies during authentication.

How does the analysis work?

When you click Analyze, RolePrint™ queries your M365 Graph API for the employee's activity (e.g. 90 days), analyzes email patterns, meeting frequency, file ownership, and collaboration networks, then AI structures the data into reports. You download PDFs with actionable handoff information. The process takes a few minutes.

How far back does the analysis go?

By default, 90 days. You can adjust this in your data retention settings. Longer date ranges provide richer insights but take slightly longer to process.

What if the employee has already left?

Accepted Answer

RolePrint™ can still analyze their M365 footprint as long as their account still exists in your M365 tenant (suspended accounts work), you haven't permanently deleted their mailbox and files, and their data is within your M365 retention window. We recommend running analysis before offboarding to get the most complete picture.

Can I analyze multiple employees at once?

Yes. Create a case for each employee. You can run analyses in parallel and download reports for all of them.

What if someone has very little M365 activity?

Accepted Answer

If an employee rarely uses email, calendar, or files, the analysis will reflect that with sparse data. The reports will show what activity exists, and you'll know there's not much to hand off. This is still valuable—it prevents you from wasting time on extensive exit interviews for low-impact roles.

Is there a free trial?

Yes. Every account starts in demo mode with sample data. You can explore the platform, create demo cases, and download sample reports at no cost. When ready for live data, request access and we'll set up a pilot.

Do you charge per user?

Accepted Answer

No. Pricing is per case (per employee analyzed), not per user of the RolePrint™ platform. Your entire HR team can use the platform under one account.

Can we cancel anytime?

Yes. There are no long-term contracts. If you're on a monthly plan, cancel anytime. If you purchased a case bundle, unused cases remain available for 12 months.

How long does setup take?

About 15 minutes: sign up (2 min), connect Microsoft 365 with IT admin approval (5–10 min), create your first case and run analysis (3 min). No training or onboarding calls required.

What do I need to get started?

A Microsoft 365 subscription (Business, Enterprise, or E3/E5), one-time admin consent from your IT team, and the employee emails for the people you want to analyze.

Does my IT team need to be involved?

Yes, but only once. Your IT admin needs to approve RolePrint™'s OAuth permissions in Azure AD (takes 5 minutes). After that, your HR team can run analyses without IT involvement.

Can we integrate RolePrint™ with our HRIS or ticketing system?

Not yet, but integrations are on our roadmap. Currently, you create cases manually in RolePrint™. If you need bulk case creation or API access, contact us—we may be able to accommodate enterprise customers.

RolePrint Exit™ includes Executive Brief, Role Continuity Report, Key Collaborators, Knowledge Assets, Communication Patterns, Access & Permissions, Governance & Risk. RolePrint Transfer™ includes seven per-role reports (Transfer Playbook, Job Description, SOW Considerations, Training Plan, Process Documentation, Tool & Access Requirements, Stakeholder Handoff) and seven program reports (Division Intelligence, Wave Transition Plan, Risk Assessment, Timeline Risk, SOW Considerations, Unified Training Plan, Cross-Role Dependency). All are downloadable as PDFs.

Can I customize the reports?

How accurate are the AI-generated insights?

The insights are based on real M365 metadata (who, what, when), so the underlying data is factual. The AI structures this data into readable summaries and recommendations. We recommend treating AI-generated text as a starting point and reviewing it before sharing externally.

What happens to the data after I download reports?

Analysis data is retained per your data retention policy (default: 90 days). After that period, it's automatically deleted. You can adjust retention settings in your account. Downloaded PDFs are yours to keep—we don't have access to files you've saved locally.
